Process and systems analysis
You probably do not need a new system. You need to stop doing four things and start doing two.
The problem
When contract administration is failing — notices late, claims unsubstantiated, records that cannot be reconstructed — the usual response is to buy software. Sometimes that is right. Often the new system is configured by the same people running the same process, and it produces the same outcome with a better interface and a subscription.
This advice is hard to get because the people who sell the analysis also sell the system. A software vendor cannot tell you that you do not need their software.
How this works
Start with the failures, not the tools. Which notices were late, and why. Where a claim fell over, what the missing evidence was and who was supposed to create it. What people actually do, as opposed to what the procedure says.
Most of what comes out is process and responsibility, not technology. Who issues a delay notice, on what trigger, by when. What a site diary must record for it to be worth anything two years later. Which approvals exist because they add something and which exist because nobody removed them.
Where a system genuinely is the constraint, that gets said, along with what it needs to do. Ambit does not resell software and takes no commission from vendors.
Why now
The Victorian security of payment changes in April 2026 altered what a compliant payment claim and payment schedule have to contain, and shortened the practical window for responding. Organisations running templates and workflows built for the old regime are exposed by process, not by argument.
